Portland, Oregon Event Photographer: Tips for Smooth Coverage
So you have an event fast approaching for your company; a convention, a conference, or perhaps an annual party, and you want a professional photographer onsite to capture the best moments as they unfold? Here are my top-tips to help your event photos to come out exactly how you envision them.
Talk to Me
As with any healthy relationship, the first and most important piece is communication. Convey your needs to the photographer in thorough detail to help us see your vision for this event photography coverage. While I do my best to be on the “up n up” I like am not entirely familiar with your brand, it’s values, and the product you sell, so clear, sometimes even repetitive communication is key. I find that the clients who over explain are the happiest.
It is never my desire to show up to a corporate event and just “wing it” so it helps me immensely when you, the client, have a great understanding of how you would like your images to turn out. Clearly you hired me because you saw a certain style you liked, but how you want me to approach your unique event will differ from client to client. A large scale, multi-day convention is quite different from an annual party, so the less assumptions I have to make, the happier you will be with the photos you receive. This starts with clear communication up front - emails are good, phone calls are better. I want to chat with the person who is going to directly be using and implementing this photos so I have the best understanding of how the images will be used.
Who is in, and who is out?
While it is easy to assume in 2026 that anyone attending an event, convention or corporate party will be photographed, that does not always mean everyone would prefer to be in photographs. This is a great area that can be communicated to not only your photographer, but to your attendees. Having signs in place that state photos are being captured always helps keep attendees informed so they are less likely to have a reaction to seeing a photographer where they might not anticipate one.
Furthermore - you, the event host, can expand on this notion by informing your attendees they have the option to not be photographed if they so choose. I have worked several conferences, conventions and events where attendees would wear a red lanyard vs a black, or had a different colored name tag if they did not wish to be photographed. This is a simple and easy way to be considerate of your attendees privacy, while also allowing me as the professional to capture the event without upsetting or surprising those in attendance.
A Little Kindness Goes a Long Way
It is no surprise that a large convention, all day conference, or even a lengthy - late night corporate party is a great deal of work! Your event is likely juggling several keynote speakers, multiple rooms or booth displays, and expecting anywhere from a few hundred to many thousands of attendees - and with all that in mind, you are seeking a professional photographer to cover all of these details to better market the event and your company for the next few months or even years!
That is a high expectation, and a large workload for your photographer, so my next tip for smooth photo coverage of your next Portland event is to extend consideration. What does that look like, you might be asking? Easy! This can be as simple as covering the cost of parking at the convention center, or ensuring that you include the photographer in the catering count. I always love it when the client has thought to ensure a secure room or space that I can leave extra gear that I bring with me. This gives me peace of mind, knowing that my backup camera and laptop are behind a locked door, or tucked behind a booth.
I never expect to be waited on, but having access to snacks, or close-by parking when I am hauling gear is always appreciated. Happy photographers produce happier photos!
